Online workflow application
MITIE
MITIE Business Services offer outsourced managed services and business processes to major global organisations. As part of this service MITIE have a network of print centres across the UK to service their clients’ document production needs. MITIE approached Hugo & Cat to design, architecture and implement an online print management and workflow tool.
The PrintIT online software reduces time and resources spent managing the print process. Users submit documents straight from their desktop, receiving automatically generated print-ready artwork to proof and sign off – documents are then queued for print and picked up by the print centre.
The challenges
Used by organisations with workforces across the globe, the tool needed to be so simple to use that it would be easier than writing an email and attaching a document.
All user journeys, including those of the document creator, print centre manager, company finance team and end recipient, had to be seamless. The design of the interface had to be intuitive and completely reskinable for use with different clients’ brands.
Our approach
We wanted a solution that was both task focused and flexible enough to meet the needs of all user groups.
The final specification was huge, with features including automated online document conversion, cost centre management, and multi-tier workflow to name a few. The tool can be used simultaneously by multiple users across multiple locations, all sharing the same real-time information.
The workflow management enables jobs to be prioritised and resources to be allocated to individual pieces, even across multiple locations. The job management screens ensure the status of any job can be monitored in real-time from any PC while full reporting is available for staff performance, machine downtimes, engineer response times, service level compliance and volume statistics.
We also developed full customer recharging with extensive reporting in both hardcopy and spreadsheet formats, tailored to the exact client specification.
Results
The PrintIT system has been embraced by international organisations including Pricewaterhouse Coopers and Linklaters.
